PRIVACY STATEMENT FOR CUSTOMER AND SUPPLIER ADMINISTRATION - COPAL
Collection and Use of Personal Data of Customers, Suppliers, and Other Contractors
We would like to inform you that we collect and use the personal data you provide to us because it is necessary to conclude and execute any agreement with you. This applies to both our (potential) customers and parties from whom we purchase goods and/or services.
You are not obligated to provide us with your personal data. However, if you do not provide sufficient personal data, it is possible that we will be unable to perform the aforementioned tasks.
Transfer to Third Parties
In connection with the execution of any agreement with you, we may need to provide your personal data to parties that supply us with components, materials, and products or perform work on our behalf.
Additionally, we use external server space for storing (parts of) our sales and purchasing administration, of which your personal data forms a part. For this reason, your personal data will be provided to our server space provider. We also use Microsoft Office and associated storage facilities for emails and other files. Lastly, because we use a newsletter mailing service, your personal data will be transferred to the provider of this service.
Direct Marketing
If you have given us permission, we will store and use the personal data you have provided to personally inform you via email about our existing and new products and services, and possibly make an offer to you. Every time we send you a marketing email, you will have the option to inform us that you no longer wish to receive such mailings. You can do this by using the unsubscribe link at the bottom of each mailing.
Retention Period of Personal Data
If you have requested a quote from us but have not become a customer, we will delete your data no later than seven years after our last contact. Similarly, if we have received a quote from you but have not become your customer, we will delete your personal data no later than seven years after our last contact.
If you have become our customer, or we have become yours, we will retain your personal data for seven years after the end of the financial year in which the agreement with you was fully executed. This seven-year period corresponds with the timeframe within which we are obligated to retain our records for the tax authorities. After this period, we will delete your personal data.
Your Rights
You have the right to request access to your personal data. If there is reason to do so, you may also request that we supplement your personal data or correct any inaccuracies. Additionally, you have the right to request the deletion of your personal data or to restrict its use. You can also object to the collection and use of your data or file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
